Executive Operations is seeking an experienced Glean Administrator to manage, maintain, and optimize the Glean AI platform. This role will be responsible for platform administration, enterprise application integrations, access management, content indexing, troubleshooting, security, and user support.

The ideal candidate has hands-on experience administering Glean in an enterprise environment and can collaborate effectively with IT, Security, and business teams to ensure the platform remains secure, accurate, accessible, and aligned with organizational requirements.

Key Responsibilities

  • Administer and maintain the Glean platform through the Glean Admin Console.

  • Configure, manage, test, and troubleshoot enterprise data-source connectors.

  • Monitor content crawling, synchronization, indexing, and search availability.

  • Configure and maintain Single Sign-On using OIDC or SAML.

  • Support user provisioning and deprovisioning through SCIM and identity providers.

  • Manage users, administrative roles, permissions, testing groups, and role-based access controls.

  • Ensure that Glean accurately honors source-system permissions and access restrictions.

  • Investigate and resolve missing, outdated, duplicated, or inaccessible content within search results.

  • Configure and support Glean Search, Assistant, Answers, Collections, Go Links, Agents, and other enabled capabilities.

  • Monitor platform health, usage, connector performance, and user adoption.

  • Troubleshoot authentication, connector, synchronization, indexing, and permission- related issues.

  • Apply security best practices, including least-privilege access and periodic permission reviews.

  • Partner with IT, Security, Compliance, and business stakeholders to support data-governance requirements.

  • Coordinate escalations and issue resolution with Glean Support when required.

  • Create and maintain technical documentation, configuration records, administrative procedures, and user guides.

  • Train users and internal support teams on Glean features and best practices.

  • Recommend improvements to search relevance, content quality, governance, and platform adoption.

Requirements

Essential Qualifications:

  • At least 3 years of experience in SaaS administration, enterprise search, knowledge management, or identity and access management.

  • Proven hands-on experience administering Glean in an enterprise environment.

  • Strong knowledge of the Glean Admin Console, connectors, indexing, permissions, and search management.

  • Experience configuring enterprise SSO using OIDC or SAML.

  • Experience working with identity platforms such as Microsoft Entra ID, Okta, or Google Workspace.

  • Working knowledge of SCIM, RBAC, APIs, OAuth, service accounts, and enterprise security principles.

  • Experience integrating enterprise applications such as Microsoft 365, SharePoint, Google Workspace, Slack, Jira, Confluence, Salesforce, or GitHub.

  • Strong troubleshooting skills involving authentication, access permissions, connectors, synchronization, and search results.

  • Ability to collaborate effectively with technical and non-technical stakeholders.

  • Strong written and verbal communication skills.

  • Excellent technical-documentation and problem-solving abilities.

  • Ability to work during U.S. Central Time business hours.


Preferred Qualifications:

  • Experience implementing Glean from initial deployment through ongoing administration.

  • Experience supporting Glean Assistant, Agents, analytics, APIs, or advanced AI capabilities.

  • Familiarity with data-loss prevention, information governance, and regulatory compliance requirements.

  • Experience working with enterprise IT, security, or knowledge-management teams.

  • Relevant certifications in Microsoft, Okta, Google Workspace, cloud administration, cybersecurity, or identity and access management.

  • Experience developing administrative processes, training materials, and user-adoption programs.
